Abstract

Penelitian ini bertujuan untuk mengeksplorasi dan menganalisis bagaimana proses kearsipan digital berbasis web Document Management System (DMS) baik surat masuk maupun surat keluar, serta kendala apa saja yang dihadapi di kearsipan sekretaris perusahaan pada PT Asuransi Jasa Indonesia. Jenis penelitian ini menggunakan metode penelitian kualitatif deskriptif dengan studi kasus. Sumber data dikumpulkan melalui observasi, wawancara dan dokumentasi dengan karyawan Sekretaris Perusahaan PT Asuransi Jasa Indonesia sebagai informan. Teknik analisis data meliputi pengumpulan data, reduksi data, paparan data dan menarik kesimpulan. Hasil penelitian menunjukan bahwa aspek penerimaan surat masuk, surat keluar dan penginputan arsip secara digital dalam sistem kearsipan di PT Asuransi Jasa Indonesia telah beroperasi tetapi masih ada beberapa kendala dari web tersebut mulai dari kendala login, proses upload yang tidak stabil dan arsip yang sudah di scan belum seluruhnya masuk ke sistem. Dalam proses kearsipan secara digital maupun manual, pengelolaan secara digital dapat meningkatkan kemudahan dan kecepatan proses pengiriman dan pembagian serta pencarian arsip. Cara ini dapat memungkinkan instansi untuk menghemat ruang penyimpanan fisik sekaligus memberikan akses yang lebih efisien kepada karyawan maupun pengguna. Dengan demikian, upaya yang dilakukan penelitian dapat disimpulkan bahwa proses kearsipan digital dapat bermanfaat bagi perusahaan, seperti efesiensi operasional. Kata Kunci : Arsip Digital, DMS, Kearsipan. **** This study aims to explore and analyze how the web-based digital archiving process of the Document Management System (DMS) works for both incoming and outgoing mail, as well as the obstacles faced in archiving by the company secretary at PT Asuransi Jasa Indonesia. This study uses a descriptive qualitative research method with a case study. Data sources were collected through observation, interviews and documentation with employees of the Corporate Secretary of PT Asuransi Jasa Indonesia as informants. Data analysis techniques included data collection, data reduction, data presentation and drawing conclusions. The result of the study show that the aspects of receiving incoming mail, outgoing mail, and digital archiving in the archiving system at PT Asuransi Jasa Indonesia are operational, but there are still several problems with the website, ranging from login issues, unstable upload processes, and scanned archives that have not been fully entered into the system. In both digital and manual archiving processes, digital management can improve the ease and speed of sending, distributing, and searching for archives. This method allows institutions to save physical storage space while providing more efficient access to employees and users. Thus, the research findings can be concluded that the digital archiving process can benefit companies, such as through operational efficiency. Keywords : Digital Archives, DMS, Filing.
