Abstract

Tujuan dari penelitian ini yaitu mengetahui sistem klasifikasi pengkodean terhadap penyimpanan arsip dinamis, hambatan dan solusi pada sistem penyimpanan arsip dinamis. Desain penelitian adalah penelitian kualitatif dengan pendekatan studi kasus, untuk memberikan gambaran secara menyeluruh mengenai sistem penyimpanan arsip secara manual pada sistem persuratan. Unit analisis dalam penelitian ini yaitu karyawan di Divisi Properti dan Umum, PT ASDP Indonesia Ferry (Persero) yang sering mengerjakan penyimpanan arsip dinamis secara manual yang diarsipkan di gudang arsip. Teknik pengumpulan data berupa observasi, wawancara dan dokumentasi. Hasil penelitian ini menunjukkan bahwa sistem klasifikasi pengkodean pada penyimpanan arsip secara manual menggunakan sistem berdasarkan divisinya masing-masing. Untuk penyimpanan arsip tersebut diarsipkan di gudang arsip yaitu Gudang PGN Mas dan Gudang BGR yang lokasinya sangat jauh dari kantor pusat, sehingga dalam melakukan penyimpanan arsip secara manual tersebut mengalami hambatan yaitu sulitnya menemukan arsip kembali saat arsip tersebut dibutuhkan. Cara mengatasi hambatan tersebut dengan cara saling berkomunikasi antara pihak arsiparis dengan pihak divisi yang membutuhkan surat itu untuk memiliki surat yang berbentuk soft file dan pihak arsiparis akan melakukan pembuatan indeks sederhana. Oleh karena itu, diharapkan dari hasil penelitian ini bisa memberikan saran dan pandangan mengenai sistem penyimpanan arsip secara manual dalam sistem persuratan yang dapat diperbaiki di masa mendatang. Kata Kunci: Arsip Dinamis, Arsip Manual, Sistem Penyimpanan Arsip ***** The purpose of this study is to determine the coding classification system for storing dynamic archives, obstacles, and solutions to the dynamic archive storage system. The research design is a qualitative study with a case study approach, to provide a comprehensive picture of the manual archive storage system in the correspondence system. The unit of analysis in this study is employees in the Property and General Division, PT ASDP Indonesia Ferry (Persero) who often work on storing dynamic archives manually which are archived in the archive warehouse. Data collection techniques include observation, interviews, and documentation. The results of this study indicate that the coding classification system for storing archives manually uses a system based on their respective divisions. For storing the archives, they are archived in the archive warehouse, namely the PGN Mas Warehouse and the BGR Warehouse, which are located very far from the head office, so that in storing the archives manually, there is an obstacle, namely the difficulty of finding the archives again when the archives are needed. The way to overcome these obstacles is by communicating with each other between the archivist and the division that needs the letter to have a letter in the form of a soft file and the archivist will make a simple index. Therefore, it is expected that the results of this study can provide suggestions and views regarding the manual archive storage system in the correspondence system that can be improved in the future.
