Abstract

Penelitian ini bertujuan untuk menganalisis implementasi penyimpanan dokumen digital berbasis Dropbox di PT XYZ serta mengevaluasi efektivitasnya dalam mendukung pengelolaan arsip digital. Dropbox digunakan perusahaan dalam versi berbayar dengan kapasitas besar, namun dalam praktiknya masih ditemukan berbagai kendala, seperti kapasitas penyimpanan yang sering penuh, ketiadaan standar operasional prosedur (SOP) dan administrator yang jelas untuk pengelolaan file, kurangnya keseragaman, serta persistennya penggunaan dokumen fisik. Penelitian ini menggunakan metode kualitatif deskriptif dengan pendekatan studi kasus. Data dikumpulkan melalui observasi, wawancara dan dokumentasi. Hasil penelitian menunjukkan bahwa Dropbox belum digunakan secara optimal. Meskipun memberikan kemudahan akses dan efisiensi dalam penyimpanan, penggunaannya belum efektif karena minimnya pelatihan, tidak adanya penanggung jawab khusus, dan masih kuatnya budaya penggunaan dokumen fisik di lingkungan kerja. Penggunaan Dropbox masih berdampingan dengan arsip manual, menyebabkan redundansi dan menurunkan efisiensi kerja. Selain itu, meskipun perusahaan telah mengalokasikan anggaran besar untuk berlangganan Dropbox, manfaat yang dirasakan belum sebanding dengan biaya yang dikeluarkan. ***** This study aims to analyze the implementation of Dropbox-based digital document storage at PT XYZ and evaluate its effectiveness in supporting digital archive management. Dropbox is used by companies in a paid version with a large capacity, but in practice various obstacles are still found, such as storage capacity that is often full, the absence of standard operating procedures (SOP) and clear administrators for file management, lack of uniformity, and the persistent use of physical documents. This research uses a descriptive qualitative method with a case study approach. Data were collected through observation, interviews, and documentation. The results of the study show that Dropbox has not been used optimally. Although it provides easy access and efficiency in storage, its use has not been effective due to minimal training, the absence of a special person in charge, and the strong culture of using physical documents in the work environment. The use of Dropbox still coexists with manual archives, causing redundancy and reducing work efficiency. In addition, even though the company has allocated a large budget to subscribe to Dropbox, the benefits felt are not comparable to the costs incurred.
